Grit & Grind – Terms and Conditions
These Terms and Conditions apply to all tours, events, races, and experiences operated by Grit & Grind. By making an enquiry, booking, or payment, you agree to be bound by these Terms and Conditions.
1. Bookings & Payment

A booking is confirmed once the required deposit or full payment has been received by Grit & Grind.

The deposit amount and final balance due date will be specified in the booking confirmation or invoice.

Full payment must be received by the stated due date. Failure to do so may result in the booking being being cancelled without refund.
2. Pricing Structure
-
Prices are quoted per person sharing unless otherwise stated.
-
Pricing may differ by market (e.g. SADC vs International) and is set intentionally based on inclusions, logistics, and operational costs.
-
SADC pricing is offered for a limited number of local riders and is subject to minimum group numbers.
-
International pricing may include additional services such as airport transfers, extended planning support, and additional logistics.
3. Inclusions & Exclusions
Included unless stated otherwise:

Accommodation as specified in the itinerary
-
All scheduled meals during the tour
-
On-ride refreshments
-
Ride support, guiding, and logistics
-
Luggage transfers during the tour
Not included unless specifically stated:
-
Drinks at meals (other than on-ride refreshments)
-
Flights to and from the tour start or end points
-
Travel insurance
-
Personal expenses, gratuities, and optional extras
4. Minimum Group Numbers

All tours are subject to minimum group numbers.

If minimum numbers are not met, Grit & Grind reserves the right to cancel, postpone, or offer an alternative arrangement.

In such cases, payments made will be refunded or credited, at Grit & Grind’s discretion.
5. Cancellations by the Participant
-
All cancellations must be made in writing.
-
Cancellation fees are based on the notice period prior to the tour start date and the level of supplier commitments already made.
Standard cancellation terms:
-
60 days or more before departure: Full refund of amounts paid, less any non-refundable supplier deposits already incurred.
-
31–59 days before departure: Deposit forfeited.
-
15–30 days before departure: 50% of the total trip price forfeited.
-
14 days or fewer before departure: 100% of the total trip price forfeited.
-
No refunds are available for late arrivals, early departures, or unused services.
6. Medical Cancellations
In cases of serious medical circumstances, previously paid amounts may, at Grit & Grind’s discretion, be carried forward as a one-off credit toward a future scheduled tour, subject to availability.
Medical Credits:
-
are subject to a maximum cap determined by Grit & Grind
-
must not result in a loss-making trip
-
are non-transferable and not redeemable for cash
-
must be used within a reasonable timeframe agreed by Grit & Grind
Supporting medical documentation may be requested.
7. Cancellations or Changes by Grit & Grind

Grit & Grind reserves the right to cancel, modify, or reschedule a tour due to safety concerns, weather conditions, unforeseen circumstances, or insufficient bookings.

In such cases, participants will be offered a refund or credit.

Grit & Grind is not responsible for additional costs incurred by participants, including but not limited to flights, accommodation, insurance, or equipment.
8. Responsibility & Risk

Adventure activities carry inherent risk.
-
Participants take part at their own risk and are responsible for ensuring they are medically and physically fit to participate.

Grit & Grind accepts no liability for injury, illness, loss, or damage to personal property, except where required by law.
Injury During a Tour
If a participant is injured during a tour and is unable to continue riding:
-
No refunds will be provided for any unused portion of the tour.
-
Grit & Grind will make reasonable efforts to assist with logistics, medical access, or onward arrangements where practicable, however any associated costs remain the responsibility of the participant.

Participation in all rides and activities is at the participant’s own risk.
Lost Luggage or Damaged Equipment
Grit & Grind is not responsible for loss of or damage to personal equipment, bicycles, or luggage during the tour, including during transport or handling, unless caused by gross negligence.
Participants are responsible for ensuring that bicycles and equipment are suitably packed, insured, and fit for transport and use.
9. Travel Insurance
Comprehensive travel insurance is strongly recommended for all participants.
Insurance should cover, at a minimum:

medical emergencies and evacuation
-
trip cancellation or curtailment
-
personal belongings, bicycles, and equipment
Grit & Grind is not responsible for any loss, expense, or disruption arising from a participant’s failure to obtain adequate insurance coverage.
Participants may be required to provide proof of insurance prior to departure.
10. Changes to Itineraries

Routes, accommodation, activities, and schedules may change due to weather, safety, or operational requirements.

Any changes will be made in the best interests of the group and the overall experience.
11. Media & Content
-
Grit & Grind may capture photographs or video during tours for marketing and promotional purposes.
-
Participants who do not wish to appear in such material must notify Grit & Grind in writing prior to the tour.
12. Acceptance of Terms

By making an enquiry, booking, or payment, participants confirm that they have read, understood, and accepted these Terms and Conditions.

Payment of an invoice constitutes acceptance of these Terms and Conditions.
13. Updates to Terms
These Terms and Conditions may be updated from time to time. The version published on this website at the time of booking will apply.
These Terms and Conditions form part of your booking agreement with Grit & Grind.
